The Upload Data tab is used when manually uploading data to Centage. If your organization is set up for automated integration to Centage, most of the functionality on this page will not apply.

Before the initial upload, you will add a new GL Source.  All subsequent uploads for the same GL Source do not require that you complete this step. This tab also offers you the option to indicate the historical period of data to upload. Another feature available on this tab is the ability to download sample and template CIF files.

This document explains the functions of the Upload Data tab.

Overview of Upload Data Tab

To access the Upload Data tab, click Modeler on the left menu bar and select Source Data.

The Source Data page has three tabs, Upload Data, Data Update Rules and Data Maintenance. 

There are four functions presented on the Upload Data tab.

Add New GL Source to enable Centage to upload CIF files that contain data from your GL/ERP.

Data Ingestion settings to indicate time frame to include in current upload.

Upload Files to select and upload CIF files.

Download Templates that you can use as a starting point when Creating CIF Files.

Add New GL Source

Add New GL Source enables you to provide the name of the GL source(s) for which you will upload data to into Centage.  This only needs to be done upon initial setup of a Profile or when you would like to add a new GL source to your existing Profile.  GL Source names are case-sensitive in Centage so this feature helps to prevent accidental uploads where the GL Source name in the file does not match what has already been identified as a valid GL Source.

  • On the Upload Data tab of the Source Data page, click Add New GL Source.
  • The Add New GL Source window is displayed. 

  • Type your company Domain Name and GL Source Name. 

Info.pngPlease Note: Your Domain Name is the first section of your Centage URL. In the example above, the URL is centage.planningmaestro.com

 

Info.pngPlease Note: GL Source Names are case-sensitive. In the example above, the GL Source Name is Sample.  If you attempt to later upload a GL Source SAMPLE, it will not be recognized.
  • If you need to add multiple GL sources, click Add New GL Source and a new row is added to the box below.
  • When all GL Sources have been added, click Apply to close the window.

 

Data Ingestion

When Account Summary and Account Transactions files are uploaded to Centage, the data is evaluated for GL Source, Version, and Time

For Account Summary data, time is based on Fiscal Year and Period ID.

For Account Transaction data, time is based on the Transaction Date.

Any existing data for the period of data in the uploaded file is replaced with the data presented in the current upload.

Another stipulation to the period is that by default, Centage is only uploading the prior 13 months of data.

After your initial implementation, Centage defaults to limit data ingestions to 13 months of historical data. This limitation is applied to all methods of integration. Administrators can override this setting before an upload so that any uploads until the next plan deployment will ingest all historical data that is included in the files uploaded.

Info.pngPlease Note: Newly created accounts will have the toggle set to Enable Ingestion of All Data Until the Next Plan Deployment until the plan is deployed successfully for the first time.

 

Prior 13 Months Data

Centage defines the 13 months as data for the current month and the previous twelve months.

Example: Upload Date: June 14, 2023

13 months back is May of 2022. All data will be included for the entire 13-month period. This means that the upload will include all data from May 1, 2022, through June 14, 2023.

 

Enable Ingestion of all Data Until the Next Plan Deployment

As an administrator, you can override the 13-month limitation via a toggle located on the Upload Data tab of the Source Data section of Modeler.

When this option is toggled on, all data regardless of date is uploaded for the profile until the plan is deployed. After plan deployment, this setting will default back to its original state and subsequent uploads will be limited to 13 months of prior data. You may use this toggle anytime you wish.  

  • On the Upload Data tab of the Source Data page, toggle on Enable Ingestion of all Data Until Next Plan Deployment.
Info.pngPlease note: Enabling the upload of all data via the override toggle may cause the application to take longer to process CIF files.

 

Info.pngPlease Note: This override setting applies for manual data uploads as well as data loads through CDI integrations. Should you wish to disable the 13-month upload limitation entirely for ALL future data uploads related to your account, please contact Centage Support at support@centage.com.

Upload CIF Files

Once a GL source has been identified, you include files to upload in the Upload box.

  • On the Upload Data tab of the Source Data page, click Browse to upload your files, or drag and drop them into the area provided.
  • A list of your selected CIF Files appears on the page. Click Upload Files.
  • Centage evaluates the files to make sure the GL Source(s) have been previously identified.  If it is determined that the values for GL Source in this file do not exist, the user will need to click Add New GL Source.
  • After the files are validated for GL source, a message to proceed with upload is displayed. Click Confirm.
  • A confirmation message is displayed indicating the files were successfully uploaded.

Info.pngPlease Note: If this CIF File uploads contains new or changed Base Structures or Base Structure Members, you may need to approve the changes.

Possible Upload Errors

During the upload process if there are any issues in any of the CIF Files included, then none of the files will be uploaded.

Examples of common errors are extra commas or spaces, invalid values, or too many characters in a cell.

A message appears providing details about the first issue Centage encountered.

Example: A Type column has an extra space (“Account Number” instead of “AccountNumber”):

Resolve all the issues you identify and upload the files again.

If you cannot resolve an issue, please use the Centage Help Hub to submit a ticket to Centage Support and include:

  • The Centage Error ID from the error message.
  • The CIF File the message references.

Download CIF Templates

There are templates and sample CIF files available for you to download. 

  • Click Download Templates to download CIF files that are preformatted with your existing Base Structures.
  • You will be prompted to allow for download and a location to store these files.
Info.pngPlease note: If you have already uploaded a Base Structure CIF file, the Account Summary and Account Transactions CIF file in the Templates download will contain columns for these.
  • Click Download Samples to download CIF files that contain sample data for each CIF file format.
  • You will be prompted to allow for download and a location to store these files.
Info.pngPlease note: The Sample CIF files contain generic Base Structure columns for Account Summary and Account Transactions and include a few sample data rows. These may not align with your Base Structures. For more information on using these files, see Creating CIF Files.
