Using the Quick Assign Data Tool

We're transitioning to a new User Interface, and are in the process of updating Help Hub content to match the new interface.

The Quick Assign feature is a Data Tool you can use in the Tools module. This tool enables you to assign values to several line items at once.

  • You could use this tool to assign benefits and taxes such as FICA to employees in bulk, instead of one at a time.
  • You could also use it to assign multiple Related Cost Drivers to Revenue line items, such as shipping and handling fees to a list of products.

This document shows you, a Planning Maestro user, how to use the Quick Assign tool.

Locating Quick Assign

To access the Quick Assign tool, open the Tools module and select Quick Assign.

The Quick Assign page opens. Use this page to filter for the Data Projections (line items) you want to assign records or expenses to.

Selecting Records to Quick Assign

Step 1: Click on the Quick Assign Type dropdown menu at the top and select one of the options:

  • Related Cost – Select this option to assign Related Costs to Revenue line items (such as shipping and handling fees to packages).
  • Related Expense – Select this option to assign Hourly Related Expenses and Period Related Expenses to Personnel line items (such as benefits to employees).

Step 2: Under Version, select the Version(s) containing the line items you want to assign data to. A Selected icon ( Little_checkmark_checked.png ) appears next to every Version you select.

Step 3: Under Account Number, select every GL Account related to the line items you want to assign data to.

  • For Related Costs, you would usually choose Revenue GL Accounts.
  • For Related Expenses, you would usually choose Expense GL Accounts.

Info.png Please Note: To select GL Accounts more easily, click on the arrow to the left of the Asset, Liability, and Equity sections to “roll up” or condense those sections. Then, you can see and select Revenue or Expense GL Accounts.

Step 4: Scroll to the right and select every Dimension Member in every relevant Dimension containing line items you want to assign data to. To include all Dimensions and all Dimension Members, do not select anything in these sections.

Step 5: Use the options at the bottom to finalize this data assignment.

To preview the data you’ve selected to assign, click Add to Preview.

A preview of the data you selected appears below.

Removing Some Records from this Assignment

To remove records from this assignment, select the records you want to remove and click Remove Selected.

Info.png Please Note: Removing these records only removes them from this data assignment. These records will not be changed or deleted from Planning Maestro.

  • A confirmation message appears.
  • The records you selected are removed.

Removing All Records from an Assignment

To remove all records from this assignment, click Remove All.

A warning popup appears. Click Confirm.

Assigning the Data

Step 1: To make your data assignments, after previewing the line items you want to assign data to, click Next.

A new page appears. The records you are making assignments to appear in a list at the top.

Step 2: To select one or more of these records and assign other records to them, click the Select icon ( Little_checkmark_unchecked.png ) next to each one.

Line items that you can assign to this record appear in the Available section below.

Example.png Example: If you are assigning employee benefits and taxes in bulk, employees appear in the top section, and the available benefits and taxes appear in the Available section.

Step 3: Click the Select icon ( Little_checkmark_unchecked.png ) next to each of the line items under Available you want to assign to this record.

Step 4: Each line item you select turns green. After selecting the line items you want to assign to this record, click Assign.

  • The line items appear in the Assigned section.
  • A confirmation message appears.

Step 5: After making all your assignments, click Apply.

A confirmation message pops up and displays:

  • How many records you updated.
  • How many records failed to update.

Editing Data Assignments

You can use the Quick Assign tool to edit your data assignments at any time.

Step 1: To edit your data assignments, open the Tools module and select Quick Assign page.

Step 2: Click the Select icon ( Little_checkmark_unchecked.png ) next to the records whose assignments you want to edit.

Line items that are Available to assign or are already Assigned appear in the sections below.

Step 3: Use the Available and Assigned sections below to add or remove assignments.

To make new assignments to this record, select one of the line items in the Available section and click Assign.

  • The record moves from the Available section to the Assigned section.
  • A confirmation message appears.

To remove assignments from this record, select line items in the Assigned section and click Remove.

Step 4: To save your edits, click Apply.

A confirmation message appears to show you:

  • How many records you updated.
  • How many records failed to update.
